6 to 8 weeks before
Reserve tents, tables, chairs, and key equipment . Confirm event location, access, and permit needs . Plan zones for check-in, food, activities, and first aid.



2 to 4 weeks before
Finalize layout and traffic flow . Confirm any vendor power needs. Add items like games, signage, or extra seating.



3 to 5 Days Before
Walk the site with your team or volunteers . Prep a backup plan for weather. Share day-of contact info and setup instructions.
