You have questions. We hear them every week.
Some come through phone calls. Others arrive in emails at 11 p.m. from someone who just realized their graduation party is eight weeks away and they haven't booked a single thing.
We get it. Most people don't rent party equipment regularly. This isn't something you do every month. So when the time comes to plan a backyard wedding, a church fundraiser, or your kid's graduation celebration, the unknowns pile up fast.
Rather than make you dig through fine print or wait for a callback, here are the questions we hear most often, answered directly.
"How much does this actually cost?"
This is the big one. And honestly, it's the hardest to answer without knowing your specific event.
Here's why: a tent for 50 guests at a backyard birthday party costs differently than a tent for 50 guests at a wedding reception with a dance floor, staging, and full table settings. Same guest count, very different setups.
What we can tell you:
- We provide itemized quotes. You'll see exactly what each piece costs. No bundled mystery pricing.
- We don't charge consultation fees. Ask us questions. Walk through options. Get a quote. There's no meter running.
- Delivery and pickup are included within our service area. We'll confirm your location when you request a quote.
The fastest way to get real numbers? Tell us your date, location, guest count, and what you're envisioning. We'll put together a detailed quote within one to two business days.
"When should I book?"
Earlier than you think.
For weddings, we recommend booking four to six months in advance. Peak season (May through October) fills up fast, and specific items like white chiavari chairs or larger tents have limited inventory.
For graduation parties, February and March are ideal booking windows if your event is in May or June. By April, you're competing with every other family in the area who just realized the same thing.
For community events and fundraisers, give yourself at least six to eight weeks. Larger events with multiple tents or staging need more coordination.
For smaller backyard parties, two to three weeks is usually fine, but don't wait until the last week. We may not have what you need available.
The short version: If you know your date, reach out. Even if the event feels far away. A quick conversation now prevents stress later.
"Do you set everything up, or do we?"
Depends on what you're renting.
We handle setup and breakdown for:
- All tent installations
- Dance floors
- Staging and platforms
- Inflatables (seasonal)
You'll handle setup for:
- Tables
- Chairs
- Linens
- Concession equipment
We deliver these items to your location, unload them where you specify, and pick them up after your event. You arrange them however you'd like.
If you need assistance with table and chair placement, let us know. We can discuss options based on your event size and layout.
"What if something gets damaged?"
Things happen. A guest spills red wine on a white tablecloth. A chair leg gets bent. A kid puts a small tear in a bounce house.
Our approach is simple:
- Normal wear and tear is expected. We don't charge for minor scuffs, small stains that come out in washing, or typical use marks.
- Significant damage gets assessed fairly. If something is broken, stained beyond repair, or missing, we'll charge a replacement or repair fee. These fees are outlined in your rental agreement before you sign.
- Honesty goes both ways. If something happens, tell us. We'd rather know upfront than discover it during inspection. Most issues are smaller than people expect.
We've been doing this long enough to know the difference between "someone used this at a party" and "someone misused this." You won't get nickel-and-dimed for normal use.
"What happens if it rains?"
Weather is the question that keeps event planners up at night. We understand.
A few things to know:
Tents are your best protection. A quality tent with sidewalls handles rain, wind, and even light snow. If there's any chance of weather, a tent isn't optional. It's your backup plan built into the event.
We monitor forecasts for scheduled deliveries. If severe weather is expected, we'll communicate with you about timing adjustments.
We don't cancel for rain. Your event happens rain or shine. That's why we encourage tent rentals for outdoor events, regardless of the forecast. Pennsylvania weather changes fast.
Flooring helps. If your event is on grass and rain is likely, consider adding flooring under your tent. It keeps guests out of mud and protects your setup.
"Can we see the equipment before booking?"
Yes. If you want to see tent sizes, chair styles, or linen colors in person before committing, we can arrange that. Just let us know when you reach out.
Most customers are comfortable booking based on photos and descriptions, but we understand that some decisions are easier to make when you can touch the fabric or stand inside a tent frame.
"How does delivery work?"
Here's the typical process:
- We confirm your delivery window. This is usually a range (morning, afternoon) rather than an exact time. Large events or complex setups may require earlier delivery.
- We arrive and unload. For tents and structures, we handle full installation. For tables, chairs, and other items, we place them where you direct.
- Your event happens.
- We pick up on the agreed date. You don't need to clean or disassemble anything. Just have items accessible and accounted for.
For tents, we typically deliver and set up one to two days before your event, depending on complexity. Pickup usually happens the day after.
"What if I need to change my order?"
Life changes. Guest counts shift. Weather forecasts update.
- Adding items: Usually possible up to a week before your event, subject to availability.
- Reducing items: Let us know as soon as possible. Adjustments made at least two weeks out typically don't incur fees.
- Cancellations: Our policy is outlined in your rental agreement. In short, earlier notice means more flexibility.
We'd rather adjust your order five times and get it right than have you stuck with equipment you don't need or missing something you do.
"Do you serve my area?"
We're based in Harleysville and serve the surrounding Pennsylvania communities. Most deliveries fall within Montgomery County and neighboring areas.
When you request a quote, include your event address. We'll confirm whether you're in our service area and whether any additional delivery fees apply.
Still Have Questions?
Good. That means you're thinking carefully about your event.
Reach out through our website, give us a call, or send an email. We respond to quote requests within one to two business days, and we're happy to answer questions before you commit to anything.
Planning an event shouldn't feel like a guessing game. Ask what you need to ask. We'll give you straight answers.
